1. Requirements to Hire

Driving License & Identification Requirements

All hirers need to provide a valid, original driving licence including the photo ID

Driving licenses must be held for a minimum of 1-2 years, depending on age of the driver.

The hirer is solely responsible to ensure that their license is valid for use in the respective country and to determine whether an International Driving Permit is required by local law. For driving licenses from countries not part of the international driving license treaty, an official translation of the license must also be presented with the original license. When renting within Greece, customers from non-EU countries must also present an International Driving Permit along with their domestic license.

Identification Form for all hirers can only be accepted Valid photo ID (passport or national ID).

Driver Age Requirements

The minimum age allowed for a driver is 21 with a Young Driver’s Fee (YDF), and 23 without it, regarding the car group, as some car groups require higher age.

The maximum age allowed is 74, without surcharge, drivers who are 74+ , will be subject of the Senior Driver’s Fee (SDF).

2. Voucher

A printed or electronic copy of your voucher needs to be presented upon arrival at the rental desk. Failure to present the voucher means the car rental agent may charge you at the local rates - the car rental agent may refuse to release the vehicle, in which case no prepaid funds will be reimbursed.

3. Payments & Pre Authorizations

Security deposit  from € 790.00 to €1,860.00 plus the estimated rental cost to be drawn from the credit card at the beginning of the rental to cover any excess/self-risk, fuel, penalties or any other unforeseen cost.

Final statement will be done soonest possible after check in of Vehicle.

4. Optional Extras

All Optional Extras can be subject to price changes, without notice and are subject to availability.

• Baby seat/Infant seat: 5 EUR, per day, VAT included
• Sat. Navigator/GPS: 7 EUR, per day, VAT Included
• Additional driver: 5 EUR, per day,  VAT included
• YDF  & SDF (Young  & Senior Driver Fee): 10 EUR, per day,  VAT included
• Snow Chains: 10 EUR, per day, VAT included
• Cleaning fee: Applies if return the vehicle and needs cleaning beyond the usual to prepare for the next rental. The biological cleaning fee is from 100 EUR for small cars to 250 EUR for large cars. In cases where we will clean a seat or a child's seat and not all the interior seats, the fee is from 50 EUR to 120 EUR.

Customer should return the extras rented locally in the same condition. Loss or damage of the equipment is not covered by any insurance.

The use of rear facing infant seat for babies under 12 months old, baby seat for children under 5 years old and baby seat or booster for children under or up to 6 years old is mandatory by law.

Responsibility for the installation of child/ baby seats and snow chains rests with the hirer and will not be done by Viva Van rentals employees. This is due to liability in case of inappropriate installation.

5. After Hours Fee

Out of opening Hours reservations will incur a cost of 25 EUR VAT included. Be aware that each station has different operating hours. Please check regarding “out of opening hours charge” at the time of booking with the local office or by visiting our web page.

6. One Way Rentals

There is a standard rate sheet for the most popular one way rentals. Please contact with the local office for further information or check our web page.

7. Cross Border

Cross Border is not allowed, when renting with Viva Van rentals.

8. Smoking & Valeting Fees

Smoking is strictly not allowed in the rented vehicle. In case of smoking in vehicle or in case of excessive cleaning from either dirt of animal hairs, the Renter will change a full cleaning of the car at minimum 100,00 EUR plus +VAT.

10. Early Returns/Unused Days

No refunds (partial or full) will be given for rentals ended early, late collections, no shows or cancellations made after the rental start time.

11. Late Returns

A vehicle is hired for a contracted period as detailed on the rental agreement. There is a grace period of 59 minutes at the end of a hire after which an extra day hire will automatically be charged.

Failure to return the vehicle:

Failure to return the vehicle on the date and time set out in the Rental Agreement, authorizes Viva Van rentals to charge Renter for each day they use the vehicle after it should have been returned, in prevailing rates. Renter will also be charged with a penalty of 50.00 EUR. Also, the customer will be charged as compensation for loss-of-income, and the cost of moving or towing the vehicle, tolls, and safekeeping and guarding, as the case may be, to the place convened in the Agreement for returning the vehicle. In the event that the vehicle disappears or is not returned, Viva Van rentals reserves the right to bring legal action against the Renter before the competent authorities with the full weight and consequences of the law. A unilateral extension of the Agreement by Renter will be considered illicit use of the vehicle, in which case the Renter will be held liable for any damage to the vehicle.  

12. Administration Fee

In case of an accident or car damage, there is a non-refundable fee of 62,00€ .

13.  Ferry Transfer

Vehicles are only allowed to be transported by boat after written approval from Viva Van rentals and only if the renter has accepted this coverage. Use of the boat without notice is prohibited and is considered negligence which voids any insurance. Customers should inform the local office of all islands they intend to visit. Otherwise, the lessee is responsible for all damage that may be caused to the leased vehicle during its transport from any cause, regardless of any coverages and limitation of liability accepted and paid for at the start of the lease. You can get a FERRY BOAT travel permit from the local office for 20 EUR per day of hire. Usually, the total charge for an island visit is 60 EUR including VAT, except in the case of a one-way rental. Unlimited use of FERRY BOAT is available for 155 EUR.

14.  Fuel Policy

Viva Van rentals operates a Full to Full Fuel Policy; hirers are requested to return the vehicle with full level of fuel, as was supplied at the time of collection. Missing fuel will be charged per litre (daily rate) and an additional charge of 15.00 EUR (Refuelling Fee). Missing fuel will be charged on your return.

15. Fines/Penalties

1) The Renter is fully responsible for all traffic and parking fines obtained during the rental.

2) If the fines described in paragraph (1) are paid by Viva Van rentals, the Renter will be charged the full amount of the penalty and a handling fee of  the amount of the penalty.

3) Upon Renter’s request, Viva Van rentals will supply him/her with a copy of any violation notice that originate from his/her use of the Vehicle and have been paid by Viva Van rentals.

4) In case of lost car documents Renter will be charged 250,00 EUR plus 50,00 EUR per day when the car cannot be used; maximum 500,00 EUR.

5) In case of lost car keys Renter will be charged 279,00 EUR. In addition, the customer is required to pay immobilization cost based on the rental amount, in no case will this amount be less than 50 Euros; maximum 500,00 EUR.

6) If rental company receives request from police about driver`s details, the renter will be charged for every request 15,00 EUR without additional notice.

7) The CDW insurance does not cover damages of interior and interior accessories, does not cover windshield cracks, the underneath of the car, fees for a tow truck and loss of, or damage to, the car keys, accidents caused by off road driving, refueling errors, ferrying.

8) The Renter will be responsible for full amount of repair cost/full vehicle value in case of vehicle total loss, if the damage has been caused by an act of negligence, caused under influence of alcohol or other narcotic substances or insurance company classified accident as a non-insurance case /serious traffic rules violation/.

16. Amendments

Reservation amendments must be requested in writing via email to info@vivavanrentals.gr at least 48 hours prior to the start of your rental. Please note that telephone amendments will not be accepted. An amendment request is not assured and amendments may be treated as a new booking.

17. Late Collections/Non Shows

Reservations will be held for 2 hours from the specified reservation time after which they will be classed as a no-show.  If the hirer arrives after this time or if the rental station closes in the interim, then a vehicle is not assured.

Reservations will be held for 2 hours or until the location closes whichever is first. Staff will not wait after closing time.

At downtown locations a reservation will be held for 2 hours or until closing time whichever is first. Staff will not wait after closing time.

Viva Van rentals will do everything possible to provide a vehicle. This may include offering a different vehicle and rates may be different to the original booking. In the event of a no-show, the booking is non-refundable.

Grace period for late or early bookings (21:00 until 08:00) is 2 hour.

Flight numbers provided are for informational purposes only. It is the responsibility of the hirer to inform the location of any delays. Flight diversions will be treated as a No Show at the original location and a booking cannot be assumed to be transferred.

20. Απαλλαγή από υπερσύγκρουση και ζημιά (SCDW)

Αυτή η ασφάλιση είναι προαιρετική με επιπλέον κόστος ανά ημέρα. Περιορίζει το ποσό ευθύνης για ζημιά αυτοκινήτου ανάλογα με την ομάδα αυτοκινήτων, όπως μπορείτε να δείτε στον παρακάτω πίνακα:

SCDW insurance does not cover wheels, tyres, the underneath of the car, glasses, damages of interior accessories nor does it cover in case of negligence, caused under influence of alcohol or other narcotic substances. Neither does it waive any liability in case of theft of the vehicle. Also from SCDW insurance excluded fees for a tow truck and loss of, or damage to, the car keys. This amount will be held in the event of charges not covered by any insurance (ie. traffic violetions, missing fuel etc.)

21. Tires & Glasses Protection (WAG)

WAG insurance cover vehicle’s Tires and Glasses. This insurance is optional with extra cost 5,00 EUR per day.

22. Theft Protection (TP)

TP covers the renter for partial or total loss of the car.

Nevertheless, the renter will have to pay the amount of liability for theft which is 790 euros for Groups: A, B, N, C, 990 euros for groups D, G, 1300 euros for groups F, E, E2, 1550 euros for groups E1, M1, M2, 1860 euros for groups K, L, L2, N2. Prices do not include VAT.

What TP does not cover:

Theft of all or part of the car caused by the renter's negligence (eg left the key in the engine or in the car or left the car unlocked).

TP cost:

10€/ rental day for the categories A,B,N,C

12€/ rental day for the categories D,G

15€/ rental day for the categories F, E, E2

25€/ rental day for the categories E1, M1, M2

45€/ rental day for the categories K, L, L2, N2

If TP is not included in the price and TP is not purchased, the renter will be responsible for the total value of the vehicle in the event of theft.

23.Extended Roadside Assistance (ERA)

The extension RO. ASSIST. the basic coverage RO. ASSIST. covering cases that do not involve mechanical breakdown of the car, such as:

1. that the renter is locked out of the vehicle.

2. immobilization of the vehicle due to lack of fuel or battery.

3. Tire replacement / change. The service is available with an additional charge of 3 EUR / rentals day.

In case the tenant needs to call RO. ASSIST. for any reason from the above and does not have "Extended Roadside Assistance" (ERA) cover then it will have an additional charge of EUR 60.

24. Off-Road Use

Off-Road use is not permitted.

If an accident occurred, regardless of fault, the local office will charge immobilization fee, car replacement fee, loss of use, administration fee and / or towing and transfer of the vehicle. The above charges may exceed the corresponding CDW excess amount and are not refundable.

In the event that a renter makes Off-Road use of the car, the contract ceases to have basic or extra insurance and the damage charge will be made based on the actual value of the damage and not based on the excess amount of the Rental Agreement. Any charges from extra services or insurances are non-refundable.

25. Accidents

In case of an accident or other incident, the renter should immediately inform the car rental company. If there is a third party involved, the renter should also call the Police. Renter should bring a Police report to the local office if there is damage or a missing / stolen car part.  The Police report should be completed and sent to local office up to 24 hours after the accident/incident. The car rental would replace the damaged car within 24h depending on the availability and the distance from the closest station.

If an accident occurred, regardless of fault, the local office will charge immobilization fee, car replacement fee, loss of use, administration fee and / or towing and transfer of the vehicle. The above charges may exceed the corresponding CDW excess amount and are not refundable.

Failure to report accidents truthfully and in keeping with the rental terms and conditions will result in risk reduction packages being null and void. Failure to cooperate or providing false information in connection with a claim will result in the driver being liable for all claims costs.

Most locations use an authorized system called DAT Hellas for the production of the damage estimation of a vehicle.

26. Theft and loss of personal belongings

Viva Van rentals is not to be held liable for items stolen, forgotten or lost inside the vehicle.

27. Vehicle Group/Model

Viva Van rentals vehicles are classified into groups.

Reservations are confirmed for a group and not a particular model unless shown otherwise. Viva Van rentals is unable to guarantee a particular make/model or fuel type unless a guaranteed model group has been booked. The vehicle shown on any documentation is for guidance only and may be substituted with an alternative, similar or upgraded vehicle at our discretion.
